COLLECTION RECORDS
Collection Records document individual artworks associated with the artistic practice of Moschburg, preserving identifying information, object specifications, and related archival documentation where available.
Each record serves as a persistent reference for a specific physical work and may include information concerning title, date, medium, dimensions, edition or unique-object status, documentation, exhibition history, ownership history where appropriate, and associated authenticity records.
ACTIVE RECORD SERIES
WHAT COLLECTION RECORDS DOCUMENT
Collection Records are maintained as object-specific archival references for artworks associated with the practice of Moschburg. Depending on the documentation available for an individual work, a record may preserve identifying information such as title, date, medium, dimensions, physical characteristics, unique-object or edition status, associated imagery, exhibition or publication references, and other information relevant to the documented history of the object.
The presence or absence of a particular field does not determine the significance or authenticity of a work. Records reflect the information available to the archive at the time of documentation and may be expanded or corrected when additional verified information becomes available.
CERTIFICATES OF AUTHENTICITY
A Collection Record and a Certificate of Authenticity serve related but distinct functions. A Collection Record is the continuing archival record associated with an artwork. A Certificate of Authenticity is an artist-issued document associated with a specific work and, where applicable, may be referenced within its Collection Record.
The Collection Record does not replace an original Certificate of Authenticity, and the existence of a public Collection Record should not be interpreted as the issuance of a new or replacement certificate.
OWNERSHIP AND PROVENANCE
Collection Records may contain provenance or ownership information when that information is documented, relevant to the archival history of the work, and appropriate for public disclosure. The archive may also retain additional ownership or transfer documentation privately when publication would be unnecessary, inappropriate, or inconsistent with collector privacy.
A Collection Record is not an independent legal determination of title, ownership, or complete provenance. Changes in possession or ownership are incorporated only when supported by documentation available to the archive.
RELATIONSHIP TO HISTORICAL RECORDS
Collection Records document individual artworks as physical or editioned objects. Historical Records document verified events, publications, exhibitions, commissions, and other developments associated with the artistic practice. The two systems are maintained separately because they document different kinds of evidence.
When a documented relationship exists, a Collection Record may reference a Historical Record, and a Historical Record may reference a Collection Record. Such cross-references identify a factual relationship between records and do not merge their accession or documentation systems.
IDENTIFICATION AND ACCESSIONING
Each artwork formally entered into the Project Atlas Collection Records system is assigned a permanent Collection Record accession number. Collection Record numbers use the prefix CR and are issued sequentially beginning with CR-001.
Accession numbers reflect the order in which works are formally entered into the archive. They do not represent the chronological order in which the artworks were created, their market value, relative importance, or position within a series.
EXISTING AND CERTIFICATE IDENTIFIERS
Existing certificate numbers, inventory numbers, artwork identifiers, or other previously assigned reference numbers are preserved as part of the documented history of the work. They are not replaced by the Collection Record accession number.
Where a Certificate of Authenticity has been issued, its certificate number remains associated with that document and may be recorded separately within the Collection Record. The CR accession identifies the archival record; it does not replace or renumber the certificate.
ACCESSION CRITERIA
A Collection Record accession number is assigned when sufficient documentation exists to identify a specific work and establish a usable archival record. The availability of every possible category of information is not required before accession.
Additional provenance, exhibition history, publication references, condition information, ownership documentation, or other verified material may be incorporated later without changing the accession number.
RECORD PERMANENCE
Once a Collection Record accession number is published, that number is permanent. It is not reassigned, recycled, or transferred to another artwork.
If information concerning a work changes, becomes restricted, requires correction, or the physical status of the work changes, the existing record is revised or annotated rather than replaced with a new accession number.
